Privacy Policy for Voice Journal

This Privacy Policy describes how Ishan Madhusanka ("we," "us," or "our") handles data when you use the Voice Journal mobile application (the "App"). Voice Journal is a personal audio diary that lets you record your thoughts, automatically transcribe them, analyze your mood, detect to-dos, and set reminders to help you stay on track.

1. Information We Collect

We collect only what is necessary to make the core features work:

• Audio recordings and transcripts you create in the App. Transcription and analysis can happen on-device or, if you enable an optional backend, on that server.
• Insights derived from your entries (e.g., summaries, mood estimates, and suggested to-dos).
• To-dos and reminders created by you or detected by the App.
• Settings such as notification preferences or Face/Touch ID lock configuration.
• Basic diagnostics (e.g., error logs) used to improve reliability. These do not include your recordings or transcripts.

2. On-Device Storage

By default, your entries and to-dos are stored locally on your device. Where available, sensitive settings are stored using the device's secure storage. If you uninstall the App or clear its data, locally stored data is removed from that device.

3. Optional Backend Processing

If you configure a backend URL in the App, Voice Journal may send your audio and/or transcripts to that server to perform transcription and analysis. That server is controlled by you or your organization, not by the app publisher. When enabled, data is transmitted securely (HTTPS where supported) and processed to return results. Any server-side retention depends on that server's configuration and policies.

4. How We Use Information

• Transcribe recordings and generate summaries, mood estimates, and suggested to-dos.
• Organize your entries and to-dos and schedule reminders.
• Maintain security, prevent abuse, and troubleshoot issues.

5. Sharing Your Information

• We do not sell your personal data.
• We do not share your recordings or transcripts with advertisers.
• Limited technical data may be processed by service providers (e.g., error reporting) under confidentiality and data-protection obligations.

6. Data Retention

• On device: retained until you delete entries or uninstall the App.
• On an optional backend: follows that server's retention settings.

7. Your Choices

• Delete entries or to-dos at any time from within the App.
• Clear all local App data from settings.
• Adjust reminder times and notification preferences in settings.
• Use the App without a backend to keep analysis on-device where available.

8. Security

We use reasonable technical and organizational measures to protect your data. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.

9. Children's Privacy

The App is not intended for children under 13, or any higher age required by local law without parental consent. If you believe a child has provided data, please contact us so we can delete it.

10. Changes to This Policy

We may update this policy. We will revise the Effective Date above when changes are made.
